Payroll is the one process where mistakes are noticed instantly, because people check their pay closely and rightly get upset when it is wrong. It also has to satisfy the law. That makes getting it right non-negotiable. Continuing this series on common Odoo mistakes, here is Payroll.

Wrong or oversimplified salary structures

Payroll runs on salary structures, the rules that turn a contract into a payslip. Getting these wrong, or oversimplifying them, means every payslip is wrong. Real pay involves allowances, deductions, contributions and local rules, and the structure has to reflect all of it. This is the heart of payroll and deserves careful setup.

Disconnected inputs

Payroll depends on inputs from elsewhere: worked time, leave, overtime, expenses. When those are keyed in separately rather than flowing from attendance, time off and the rest, errors and effort both multiply. Connect the inputs so payroll draws from the same data the rest of HR uses, rather than being re-entered by hand.

Payroll rules change: tax rates, contribution limits, statutory requirements. Running last year’s rules this year produces wrong, and potentially non-compliant, pay. Keeping the payroll configuration current with the law is part of the job, not an optional extra. This is often where local expertise earns its keep.

Skipping verification before posting

Running payroll and paying it without a proper check is asking for trouble. A quick review, do the totals look right, are there odd outliers, catches mistakes before they reach people’s bank accounts, where they are far harder to unwind. Always verify before you commit the run.

Poor record keeping

Payslips and payroll records need to be kept properly, for employees, for audits and for the law. Treating them casually causes problems when someone needs a historical payslip or an auditor comes calling. Keep clean, accessible records as a matter of routine.

My take

Payroll leaves no room for casual setup, because errors hit people directly and the law is watching. Correct salary structures, connected inputs, current legal rules and a verification step before posting are what make payroll dependable. It is worth getting expert help on the local specifics; the cost of getting payroll wrong is far higher than the cost of getting it right.
