How to Set Up a Project in Odoo

Odoo Project turns a pile of work into something organised and visible, but only if it is set up with a bit of thought. Getting the structure right at the start keeps a project on track rather than drifting. Continuing this series of practical Odoo how-to guides, here is setting up a project.

Create the project

Start by creating the project itself and giving it a clear name and purpose. A project is the container for all the work towards a particular goal or for a particular client. Keeping one project per genuine piece of work, rather than one giant catch-all, keeps things clear and reportable.

Set up your task stages

Within a project, tasks move through stages, columns on a board such as to do, in progress, review and done. Set stages that reflect how work actually flows for you. A clear set of stages makes the status of everything obvious at a glance, which is much of the value of running projects in a system rather than in your head.

Break the work into tasks

Break the project into tasks that are small enough to own and track. Each task should be a clear piece of work with an owner and, where it matters, a deadline. Tasks that are too big become black holes; tasks that are clear and owned keep moving. Good task breakdown is quietly one of the most important parts of project setup.

Assign owners and deadlines

Every task needs someone responsible for it. Assigning owners turns a list of things to do into accountable work, and adding realistic deadlines keeps momentum. Without owners and dates, tasks stall because everyone assumes someone else has it. With them, the project has a pulse.

Connect time and billing if relevant

For client or billable work, connect timesheets so time spent is tracked against tasks, and link to billing where the work is chargeable. This is what lets you see whether a project is profitable and makes sure billable time is actually invoiced. If the project is internal, you may not need this, but for services work it is essential.

My take

Clear stages, well-broken-down tasks, real owners and deadlines, and connected time tracking for billable work are what keep a project organised and profitable. The setup takes minutes and shapes everything that follows, which makes it time very well spent.
