How to Set Up Documents in Odoo

Business files have a way of scattering: some on one person’s drive, some in email, some in a shared folder nobody maintains. Odoo Documents brings them into one organised, connected place. Setting it up well is what keeps files findable. Continuing this series of practical Odoo how-to guides, here is Documents.

Set up your folder structure

Start with a sensible folder structure that matches how your business thinks about its files: by department, by client, by type. A clear structure is what makes documents easy to find later. Spend a little thought here, because a good structure at the start saves endless searching down the line.

Control who can see what

Documents often contain sensitive information, so set up access so people see only the folders they should. Different teams get different areas, with confidential material restricted appropriately. Getting this right means Documents is both useful and safe, and people can share freely within the boundaries you have set.

Get files in easily

Make it easy to get documents into the system: uploading, and capturing files that arrive by email or are generated by Odoo itself, like invoices. The easier it is to file something correctly, the more reliably people do it, and the less your organised structure decays back into chaos. Low friction is what keeps it tidy.

Use workflows on documents

Odoo Documents can do more than store files; it can route them through simple workflows, sending a document for validation, or turning it into a record. Setting up workflows for your common document processes turns passive storage into an active part of how work gets done, which is where Documents earns its place.

Connect documents to records

The connected advantage applies here too: documents can attach to the records they relate to, a contract to a customer, a bill to a vendor. Setting this up means files live with the business context they belong to, so anyone looking at a record sees its documents right there rather than hunting for them elsewhere.

Practical tips

  • Set up a folder structure that matches how your business thinks.
  • Control access so sensitive documents are seen only by the right people.
  • Make filing easy: uploads, email capture, Odoo-generated files.
  • Use workflows to route documents through validation or processing.
  • Connect documents to the records they relate to.

My take

Documents solves the quiet, universal problem of files scattered everywhere by bringing them into one organised, access-controlled, connected place. A sensible folder structure, the right access, easy filing and connections to records are what make it genuinely useful. Add workflows and it becomes part of how work flows, not just where files sit, which is a real step up from a shared drive.
