How to Set Up Sign for Electronic Signatures in Odoo

Chasing a signature by printing, signing, scanning and emailing is slow and dated. Odoo Sign lets you send documents for electronic signature and get them back in minutes. Setting it up is quick and the time saving is real. Continuing this series of practical Odoo how-to guides, here is Sign.

Prepare your document templates

Start with the documents you send for signature repeatedly: contracts, agreements, consent forms. Setting these up as templates means you are not rebuilding them each time. Prepare the templates you use often, and sending a document for signature becomes a matter of a few clicks rather than a fresh setup every time.

Place the signature fields

On each document, you place the fields that need completing: where to sign, initial, date, or fill in details. Setting these up on your templates tells signers exactly what to do and where. Clear field placement is what makes signing effortless for the other person, which is what gets documents back quickly.

Send documents for signature

To get something signed, you send it to the signer, who receives it, reviews it and signs electronically from wherever they are, no printer required. Setting up your sending process, who signs, in what order if there are several, is what makes the flow smooth. The signer’s experience being easy is what keeps things moving.

Track signature status

Once sent, you can see where each document stands: sent, viewed, signed. This visibility means you are not left wondering whether someone got it or forgot. Setting up and using this tracking lets you follow up at the right moment, so documents do not stall in limbo waiting on a signature.

Keep signed documents connected

Signed documents should not vanish into an inbox; they can be stored and connected to the relevant record, a signed contract attached to the customer, for example. Setting this up means your executed documents live with their business context, properly filed and easy to find when you need them later.

Practical tips

  • Set up templates for documents you send for signature often.
  • Place signature and other fields clearly on each template.
  • Set up your sending flow, including signing order where needed.
  • Track signature status so you can follow up at the right time.
  • Keep signed documents connected to the relevant records.

My take

Sign removes one of the slowest, most tedious steps in doing business: getting things signed. Templates, clear fields, a smooth sending flow and status tracking turn a multi-day print-and-scan ordeal into a few minutes of work for everyone. Keep the signed documents connected to their records and the whole thing is not just faster but better organised too. A small setup with an outsized payoff.
