How to Set Up Planning in Odoo

Whether you run shifts, allocate people to jobs, or manage resources across a week, Planning gives you a clear schedule everyone can see. Setting it up well is what turns a scheduling headache into something visible and manageable. Continuing this series of practical Odoo how-to guides, here is Planning.

Set up your resources

Start with what you are scheduling: people, and sometimes equipment or rooms. Set up these resources with their availability, so the schedule reflects who and what is actually available. Getting your resources and their working hours right is the foundation, because everything you plan sits on top of it.

Create shifts and assignments

The core of Planning is creating shifts or assignments and allocating them to resources. Set up your typical shifts or job slots and assign the right people to them. A clear, visual plan of who is doing what and when is what Planning delivers, replacing the guesswork and clashes of informal scheduling.

Use roles and skills

If different work needs different skills or roles, set these up so you schedule the right people for the right jobs. Matching assignments to roles avoids putting someone on a job they are not suited to, and makes the plan realistic. This is what keeps a schedule not just full but sensible.

Publish and communicate the schedule

A plan only helps if people know it. Set up how you publish and communicate schedules so everyone can see their shifts and any changes. When people can check their own schedule, you cut out the constant “am I working Thursday?” questions and everyone works from the same, current plan.

Watch for gaps and overloads

The point of a visible plan is to spot problems before they happen: a shift with no one assigned, a person scheduled beyond their hours. Use Planning to see these gaps and overloads and fix them in advance. Balancing the plan ahead of time is far better than discovering the problem on the day.

Practical tips

  • Set up your resources with their real availability.
  • Create shifts and assignments and allocate them clearly.
  • Use roles and skills to schedule the right people for the work.
  • Publish and communicate schedules so everyone knows their shifts.
  • Watch for unfilled shifts and overloaded people, and fix them early.

My take

Planning turns scheduling from a stressful, error-prone juggle into a clear, shared picture of who is doing what and when. Well-set-up resources, sensible shifts, role matching and good communication are what make it work, and the visibility lets you catch gaps and overloads before they bite. For any business that schedules people or resources, that clarity is a genuine relief.
